POSITION SUMMARY
Provides clerical support including typing correspondence, reports, and documents; maintaining filing systems; and coordinating daily interoffice activities. 

Oversees caregiver recruitment, screening, hiring, and retention. Coordinates with the RN to administer testing of the caregivers and set up skills assessments. Assist Administration with caregiver schedule adjustments.

Assist Administration with client correspondence, maintaining client files and creating admission packets.

Participates in quarterly quality assurance reviews, team meetings, and training events.

Available for after hours call in a scheduled rotation with other team members.

Be accessible via mobile phone & / or desktop computer apps required by the agency in order to conduct day to day operations.

Be available for emergency shift coverage (rare).
 
REPORTS TO: Administrator & Alternate Administrator
 
QUALIFICATIONS
  • High school graduate; college degree preferred.
  • Minimum of two (2) years experience in a business setting, home health care preferred.
  • Knowledge of medical terminology preferred.
  • Speak, read, write, and comprehend English.
  • Speak, Comprehend Spanish a Plus
  • Demonstrated strong verbal, written and interpersonal communication skills.
  • Demonstrated ability to type at least 50 words per minute.
  • Demonstrate use of computer programs to include but not limited to Word, Excel, Power Point, Google Docs, Spread Sheets, etc.
  • Current BLS certification a Plus.
  • Current Florida CNA Certification or Home Health Aide certificate a Plus.
 
ESSENTIAL FUNCTIONS/AREAS OF ACCOUNTABILITY
  1. Provides clerical support to agency management and supervisory personnel. 
    1. Prepares correspondence, reports, documents, and medical Plans of Care.
    2. Schedules appointments for management staff and schedules meeting rooms.
    3. Prepares updates to policies and procedures as directed.
    4. Prepares statistical reports as needed.
  2. Maintains inventory of office supplies and medical supplies. 
    1. Establishes agency standards and appropriate reorder points.
    2. Monitors supply needs and assures availability of supplies needed.
    3. Prepares client charge slips as directed and forwards them to the billing department.
  3. Assists with the billing process. 
    1. Assists with data entry of schedules for billing and payroll.
    2. Maintains current admission log.
  4. Enters and maintain client data base.
  5. Responding to incoming client referrals and completing referral summary sheets.  
  6. Responding to incoming caregiver referrals and assisting with application process.
  7. Assists with hiring process for direct care staff. 
    1. Provides initial telephone screening for applicants and sets up interviews if appropriate
    2. Requests references on applicants.
    3. Performs orientation and training of all new clerical & direct care staff.
    4. Monitors and directs remote training as required by the company and the state.
    5. Performs Criminal Background check as required by AHCA & maintain corporate roster in AHCA database. 
    6. Perform additional background checks including Sex Offender Registry, OIG, MVA on new applicants.
    7. Obtain I-9 Verifications via the e-verify system.
    8. Maintains Employee Files and reports missing or incomplete documents.
  8. Performs job in compliance with agency policies and procedures as well as community and professional standards. 
    1. Accepts responsibility in accordance with the role of the Administrative Assistant.
    2. Oversees part-time administrative assistant and participates in training for new admin staff.
    3. Assures compliance with applicable laws.
    4. Attends meetings and educational programs as required.
    5. Participates in the Agency quality improvement activities.
    6. Maintains confidentiality in all aspects of the job.
  9. Communicates necessary information to Supervisor and management team to ensure coordination of services and activities. 
    1. Attends clinical staff meetings as needed to communicate information needs
    2. Contacts clients, referral sources, families, and other disciplines as directed to assure care coordination.
    3. Assists with filing of documentation in the clinical record. Reports missing or incomplete charting.
    4. Participates and communicates with other departments to assure that tasks are accomplished.
    5. Performs additional duties and responsibilities as deemed necessary.

Compensation: $19.00 - $22.00 per hour
