The Client Services Coordinator is responsible for supporting the office's daily operations by managing incoming calls, coordinating caregiver schedules, conducting client intakes, maintaining accurate records, and providing exceptional customer service to clients, families, caregivers, and referral sources. This position serves as a central point of communication and helps ensure smooth office operations and continuity of care.
Key Responsibilities
- Answer and route incoming phone calls professionally and efficiently.
- Conduct new client intake calls and collect required information.
- Schedule client assessments, caregiver shifts, and follow-up appointments.
- Maintain and update client and caregiver schedules.
- Assist with staffing coverage and schedule changes.
- Communicate with clients, families, caregivers, and referral sources.
- Maintain accurate client records and documentation.
- Assist with onboarding paperwork and administrative tasks.
- Monitor office supplies and support general office organization.
- Provide excellent customer service and problem resolution.
Qualifications
- High school diploma required; associate degree preferred.
- Minimum 2 years of administrative, scheduling, customer service, or healthcare office experience.
- Home care or healthcare experience is preferred.
- Strong phone, communication, and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Proficiency in Google Suite and scheduling software.
- Ability to work independently in a fast-paced environment.
